An O&M manual should include: equipment and system descriptions, operating procedures, preventive maintenance schedules and procedures, troubleshooting guides, parts lists and reorder information, warranty documentation, emergency procedures, and manufacturer contact information for every building system.
O&M documentation collection should begin at the start of construction, not at closeout. Each subcontractor should submit their O&M content with or shortly after their submittals are approved. Waiting until closeout creates delays and missing documentation.
Contract requirements vary, but typically 2-3 hard copies and 1-2 digital copies (PDF on USB or cloud) are required. Some owners also require native files for maintenance management system import. The delivery section tracks the specific requirements and confirms each format has been provided.
