What to look for in Field Reporting software
Field reporting software is where the jobsite becomes data: the daily report, photos, T&M tickets, manpower, and quantities, captured by the people doing the work. Most of it is a form that stores what someone typed after a ten-hour shift. This guide is about buying the kind that reads it.
What field reporting software must do
Six things, every day, from every crew. If a product cannot do all six from a phone with no signal, it is a form, not field reporting software.
Work performed by area, crews on site, weather, delays, visitors, and deliveries. One record per project per day, from every crew, not just the GC.
Progress, deficiencies, deliveries, and conditions, tied to the date, the location, and the report they belong to, not lost in a camera roll.
Extra work captured the day it happens, with labor, equipment, and material, and a signature from the person who directed it.
Headcount and hours by trade and by sub, the denominator behind every labor productivity and safety rate you will ever compute.
Linear feet, square feet, cubic yards, each against the plan quantity for the day, so the office knows whether the pace holds.
Basements, tunnels, and remote sites have no signal. The report has to be captured there and sync later without anyone noticing.
The field-to-office gap
The problem is not that contractors lack a form. It is what the form costs the person filling it in, and what that cost does to the data.
The superintendent finishes a ten-hour day, sits in the truck, and types the report. Every field is a tax on the one person the job cannot afford to lose.
Under that pressure the report becomes "same as yesterday." Quantities go missing, T&M tickets get written a week late, and the record that decides a claim is one line long.
Most field software fails in the first month. Crews go back to text messages and photos in a group chat, and the office rebuilds the report by hand from fragments.
Thin reports are not a discipline problem. They are the predictable output of asking a tired person to type. Fix the capture and the data fixes itself.

This is the test to run in any demo: speak one sentence with a quantity in it, then ask where that number appears thirty seconds later.

Take these into the demo. Each one is a question the vendor should be able to answer in under a minute with the product open, not a slide.
Can a foreman speak the report in two minutes and have it land structured, or is speech just a note field?
Does a photo of the pour or the missing guardrail become data (location, quantity, hazard), or is it an attachment?
Capture with no signal, sync later, nothing lost, no manual retry. Test it in the basement, not the conference room.
What share of crews reported on time in week four of the pilot? If the vendor cannot show that number, the product does not survive the field.
The record is only complete if every sub and every foreman is in it. A price that punishes headcount guarantees a partial record.
Does the software compute production pace, hours by trade, and safety rates itself, or does someone still re-key the report into a spreadsheet?
On price: the field record is only as complete as the number of people in it. Any pricing model that makes the twelfth foreman or the fourth sub an extra line item is choosing revenue over the record.
